Contract Length: Until end of financial year
Location: Hybrid/London - Need to be flexible to go into the office to support with big events/ meetings/ away days

Pay Rate to Intermediary: £200 per day


Spinwell is recruiting for an Executive Assistant for an excellent opportunity within the public sector.

 

RESPONSIBILITIES OF THE EXECUTIVE ASSISTANT

  • Provide complex diary and inbox management for the Deputy Directors, balancing competing priorities to maximise available time, de-conflict appointments, and rearrange schedules, sometimes at short notice.
  • Prioritise emails for the Deputy Directors and provide high-quality correspondence.
  • Organise meetings, visits and other engagements with both government and external stakeholders.
  • Arrange travel for the Deputy Directors, ensuring all expenses policies are adhered to and an effective itinerary is provided.
  • Provide secretariat support the directorates’ private offices, including preparing agendas, handling minutes and ensuring actions are followed up on.
  • Maintain an electronic filing system, ensuring processes are up to date and in working order, handling sensitive information discreetly and in accordance with official guidance.
  • Develop deep understanding of the Deputy Directors’ priorities to effectively flag emerging issues they should be aware of, and act where necessary to support.
  • Assist with business support functions, e.g. managing external stakeholder communications, helping to organise team away days, supporting on recruitment and onboarding of new staff.

 

SKILLS/EXPERIENCE OF THE EXECUTIVE ASSISTANT

  • Experience of working with senior leaders in a high-profile working environment
  • Ability to organise a daily workload by priorities and able to meet deadlines in a fast-paced, dynamic environment
  • Demonstrable administration and support skills, with strong attention to detail
  • Excellent written and verbal communication, with the ability to communicate concisely and coherently to a wide variety of audiences
  • Demonstrable experience of handling sensitive information, displaying tact and diplomacy and maintaining confidentiality
  • A proactive approach to problem-solving with strong decision-making skills
  • Experience of managing a busy diary and/or inbox
